EXPO 4: Update . . .The good and bad

Default EXPO 4: Update . . .The good and bad

OK guys. Here are our dilemmas and our solutions. I set a date of this past Tuesday to have 70 people paid (That put us just outside of 30 days till the event). As of this Thursday we have 54 people paid. We did pick up about 10 people so I appreciate the effort.

To explore our options I contacted BeaveRun about a refund, and was told that they have a no refund policy (as I expected). Krystal also explained though that they train soldiers for the war in Iraq at the facility and they really needed one additional day that week for Training and would love to use our Friday. That would leave us a one day driving event on Saturday. I agreed this would be a good option for us so we are reducing down to the 24th only for driving. We need to discuss any other festivities we would like.

That all said, I am playing with numbers to get an idea of how much of a refund that will allow everyone. My goal which I am almost certain we can hit is to refund everyone that has paid in full $110 at the event. This would mean the day of driving and the banquet will cost $185/driver. Nothing is changing for guests. That said we have a banquet booked on Friday night that we are scrambling to change if possible. This is all based on cost. If we move it we lose our $500 deposit.

I do need some input on do we have a party/banquet Friday night (7:00 pm) and then Driving Event Saturday or do we try and get an option for Saturday? Our most likely option for Saturday will be to have a pig roast/cookout of some type at the track under tents. The Friday night banquet will be at the Hotel in their banquet room. Weather is my biggest concern.

Cliff Notes: We can Party Friday, Saturday and Sunday . . . We will be Driving on Saturday only. We will be cutting the price and refunding money at the event. We still need the event to fill up to accomplish this and that means we are 21 people short still. Please continue this enthusiasm and be sure to tell everyone the event is on Saturday and Cheaper!

Please look at our options this way

1) 45%-50% refund and no event

OR

2) Get almost 30% back and Drive plus the Expo goes on!

Still is going to be a good event, i assure everyone. From what is obvious, Trey is busting his *** to make this happen. Those 21 people need to sign up so this can happen. You will not regret it.

like i said the other night, i'd be c00l with ending registration right now and not getting any money back. just means more track time for me.

Inside banquet would be the safest idea, weather wise. Then everyone can go to town on the bar they have in the hotel on Saturday night.

I say go option 2 and this is a good compromise. I say we have some **** talkin the night of the event and that way can get trashed w/o having to worry about geting up early the next morning and having to concentrate on driving.

I need to confirm with my co-driver if the drive out and back is still worth it...

With all of the recent late registrations how many were we short? I know that I've seen quite a few recently...thought that we would of had enough people...

that still puts us roughly $5000 shy of where we need to be. i can't blame trey whatsoever for not wanting to take that chance.

So if I find any live ammo, I can play with it?

I was hoping for two days on the track...

Now as for Driving time, whats the aprox amount per person ?
also Would it be possible to swing a deal for some more time to drive on Sunday???

Blahhh

Question, What if we locked the registration now, would that leave us enough money without giving a return to have the event and maybe have a few extra mins per person on the track for the one day?

There is a race school scheduled for Sunday, so that isn't a possibility since it's already booked

I had not considered nclosing it now without a refund . . .best case we could do it but class divisions woudl be sketchy. It would be about 25 people per group which is fine but we would have Nove and Intermediate mixed and some Intermediate and advanced mixed. I would mean one full less driving group . . . which would get us about 1.5 hours more to split up for everyone.

How interested is everyone in this? I need to do this ASAP cause if we get over the current # we will have to have 3 run groups.

It'd be a new track to a lot of people, and the beginners (like myself) may take a little while to warm up to the track, so I'm not sure if having intermediates with them would be the best idea.

No real arguement there Brian but don't get to timid. It would be a division line down the middle of experience more than experienced intermediates in the novice group
