Default 2002 Expo -- PLEASE READ -- We have some things to figure out!!!!!

Alright guys, I need everyone to pull together and help me figure some things out. To make a long story short, we may have lost our date at Gingerman due to a 'Bidding Process' by the track. Essentially, we are competing against other race groups for that date (and everything after). We can keep the date, but we may be looking at prices of $350-$400 for the weekend, which would still include the banquet.

Keep in mind when comparing to other events and their costs, that we will have way more track time, and not have the conjestion that you would typically find.

We do have some options:
-We can do this on April 19th and 20th (Friday-Saturday) for around $250, or we could do it during the week (Monday-Tues) for that price also.

To rent a track on the weekend ALWAYS costs more $$$.

I understand that people have to work, etc., and that some might think the price is high.

We need to get this handled ASAP, so PLEASE talk to me. We can't have the EXPO without all of us attending.

Don't do it during the week. A lot of people can't make it during the week - including ITR owners as well as instructors.

As far as the April vs May date, here are some weather statistics for South Haven, MI:

Average high temp F: April 55, May 66
Average low temp F: April 37, May 47
Average number of days with any rain (.01 inch or more): April 10.6, May 10.3
Average number of days with a fair amount of rain (.5 inch or more): April 1.9, May 2.2
Average snowfall (for the whole month), in inches: April 2.0, May 0.0

Just when things seemed to be going so well.
There seemed to be a problem even getting people to ante up $200 last year!

Is there a "spring break" in April (I've been out of school way too long ....hehehe)?

i think weekends are going to be best for everyone. i know alot of people are going to be coming from all over so we are looking at a couple of days just for travel. during the week might be bad for some people because two days of travel and two days of expo that's close to a week from work. some may not be able to swing that. if we plane this right everyone should have enough time to save some $$$. also i know gingerman was a good choice, but are there other tracks for around this time??

I can make it during the week. April seems a bit; cool track temperatures may affect traction. I'm not up for paying $400 just to reserve a weekend, especially because that high a price would turn a lot of ITR owners away.

If the higher price is a problem for folks, then do it on a weekend in April - much better than during the week in May.

Ugh, an April date would suck because I would still be in school, so I would definately not be there.

I say we do the higher price. Or why not just push it to the next weekend in May?

As we talked before...I'm in no matter what. Weekend/weekday, April/May, etc.

I do agree with Ken however, about a weekday possibly limiting the turnout...

300-400 is awful high, and would give me some second thoughts about coming. $250-300 - I will come. Much above that and I"ll have to think about it.

April or May makes no difference to me. Either works.

Doing this on a weekday would be better than a weekend, allowing me to use my time off work more effectively towards getting there and back, but either will work fine for me.

Seeing as I live so close, I won't complain about the price cause I'd feel bad about those who have to travel. I'm in no matter what, but how do you know the auction will take the price that high? It could remain the same too, right?

im making all my plans to revolve around the expo..that is how important it is for me..if i had to choose only one event to attend all year, it would be the expo..so no matter what date or price i will be there and support you guys 100%... if this is something you want to be a part of ...you just might have to start saving your money a little earlier..

What happened to this from nsxtcjr?
I am pleased to announce that CGI Motorsports has obtained a "commitment" from the management at GingerMan Raceway for the dates Saturday-Sunday May 18-19, 2002.
This, of course, is for the track event for ITR Expo 2002. Woo hoo!!!
I guess the commitment was not to be...

If the "bidding process" means they want more money for the track rental to "e-bay" a weekend... that sucks.

$300-$400 is pricey but not too bad for a weekend at a track reserved for ITR's only. How many cars would be needed in order have that event fee?

Weekend would be my vote for a track event.

Are you still working on this?
Wes is in charge of the ITR Expo 2002.

At this point, I'm still mostly sitting on the honda-tech.com sidelines... but I'm also trying to help Wes with the Expo, which is why I've been posting about the event.

How would folks feel if we got Monday-Tuesday May 27-28 for the event? Yes, it's during the week, but only one of the days is a work day, since Monday is a holiday...

I can lock in the date, but that means that I will have to come up with a nice deposit. The price that I stated is on the conservative side, or worst case scenario, but I would rather be up front with all of you.

I am with Budman and EP. I mean, I drove from Nebraska. And look at Jack and Ed, all the way from the east coast

Willard: I share your frustration, believe me! There is a lot more demand for weekend now, so prices have gone up accordingly. To brake even, it will depend on the final numbers of cost per entrant. I still don't have exact figures.

Trust me I know your pain! All I can tell is this: I was happy with the help and support we got for Expo 2001. Now that we've proven that it works and is hella fun, I am looking forward to seeing the ITR community pull together for an even bigger event! That's the first time I heard of this type of scenario. My guess is that they are trying to take advantage of the situation since it is a new club. Usually, bidding, if ever, is done before the dates are assigned, not afterwards when more clubs express an interest with a certain date.

It could be a way to cancel your date since a more favored club or race team wants that date and is willing to pay more. What happened to CGI's good relationship with the track. Did you guy's have a contract with the track? Did you put a deposit down? Is it in the contract that they are able to do this?

That happened to NASA-AZ when PIR got bought out by ISC, they just doubled the fees, while SCCA's remained the same, since they wanted to cancel all NASA-AZ dates for the coming year to make room in the schedule for whoever they favored. They gave a lame excuse of NASA-AZ causing more wear & tear on the track since they rented it around 12 weekends (Fri-Sun) a year and had more than 350 entries every time.

An unforseen situation arose, and the track is able to make more money. No contract has been signed, and no deposit has been put down. Remember, we don't have a "Organization" with funds. Any deposit that will be made will come from someone's pocket, not an organization's funds.

yea 350-400 is pretty high...and considering the fact that we can have the same event for a lower price during april..i would say let's have the event on APRIl......
