~VIR EXPO Lodging, feedback please~

I heard nothing about this issue while at EXPO? Were there a lot of people who still wanted rooms that didn't get them or ended up having to room back in Danville?
Apparently there were last minute cancellations that allowed others to ****** up spots just days before the event. Anyone want to speak up that cancelled?
Two different people approached me who placed calls to VIR just days before the event who were informed they could obtain a room.
Please use this opportunity to provide any constructive feedback you think will help us plan for the future. Obviously not every track is going to provide us with onsite lodging, so these past two years were rather unique.
In the future however, should a similar situation present itself things will be handled differently from the beginning. Ultimately those driving should have had first shot at onsite lodging.

I was one of those room cancelations. Then due to the heat, I was one of the last minute room reciever's as well.
That AC was a life saver. Sounds like white rocket got the best deal of all.

all i will say is that the paddock suite saved me from total heat exhaustion (in addition to being super baller)

Luckily someone cancelled a room , and i grabbed it up ,
I would have camped , but my girlfriend spend the better part of the first da in the medical office , so thats why i dropped the money on the suite ,
Thye were amazing rooms tho
And if done correctly ,
It would only cost people 30 $ or so for a room ( split 4 ways ) There are 2 double beds in the suites ,
And if its at VIR next year i will b getting a room again

I certainly scored a pretty sweet deal. I read up on Jon D's original thread and obviously those who are driving or have been to Expo before got first right of refusal. I hung back and didn't do anything until April or so. When I called VIR the girl at reception said all the rooms were booked. However, she offered me an on-site camper for $50/night. She explained that they have C-class motorhomes near the paddock which are treated like a room with maid service and all. I thought that would be awesome since Dave_B and the gang were camping anyway so we could party like it was 1999 and I wouldn't need to stumble far to pass out
. Needless to say, I booked the camper for 2 nights.
Fast forward to the Sunday arrival at VIR. Ali drove me up to the gate to obtain my camper key after we set up camp with the Florida crew. I gave the gate keeper my resy form and he begins to flip through his file folder looking for a key. He informs me that there was a mistake and offers me a Lodge room for the SAME PRICE
. Without missing a beat I kindly accept
. Room 112, where the players dwell, was my home for the 2 nights. I offered the second bed to Ali since I rode up with him. The first floor spot went to neo_. Then, after getting drunk as **** at teh paddock that night, Stunna was kind enough to drive my back to the Lodge. He says he's sleeping in his car
. I say F- THAT, and he took the second floor spot.
Without the A/C I would've effin' died. All in all it worked out great. I would've packed more peeps into the room if I needed to. No one should've had to suffer through that heat.

Extremely happy with the actual lodging and amenities and whatnot......obtaining a room however was a freakin nightmare. Anyone else get charged $40 separate of a room or garage? There was no mention of it in any of my receipts, agreements, or other documents, but it's sure on my credit card. I've been too busy/lazy to find out what it is.

they charge $10 per night for each person over 2. so 4 to a room for 2 nights = $40

well in your case, you might have gotten a surcharge for the tank cleaning and de-chlorination

Fuggers, thats why I told my friends to say they were staying off site and put the do not disturb sign on the door monday morning.

There is another issue at work here.
Everything should go through the organizers.
VIR decided, apparently, to create a waiting list or something for rooms (or so i hear). That is no problem, that is their job to ensure they have rooms filled. and we did not tell them otherwise.
If we did in fact have some priority level that I was unaware of, then requests for rooms should go through the organizers, then the organizers would send them through to VIR. or we create a before/after rule for them to follow based on what the participant signed up as... driver/instructor/organizer, or guest.
There are other issues of things not going through the organizers, and being directly communicated to VIR, with no verification from the organizer group, that are troubling to me. I won't go into that as its not directly related to this discussion. But needless to say, there has to be an agreement with the track and the organizers that most things need to be communicated both ways.
I unfortunately had to cancel my room in mid May, I think around the 17th. I have no idea who got my room, but VIR did not even bother to call me back to cancel, I just saw a cancellation email in response to my voicemail about 10 mins after I called. That late in the game I'd expect that whoever calls them next or whoever is on the waiting list would get that room, regardless of status. Unless we tell them otherwise.
Seeing how NONE of the tracks we have discussed so far have on track lodging, I really do not see why we need to rehash this.
In the event that we DO have a track for Expo 9 that has on track lodging, here is a suggestion:
The organizers tell <insert track name> officials that they can give out reservations to drivers/instructors/organizers until this date, at which point it is open to all.
And the only way to do that is to verify that whoever is reserving is a paid driver/instructor/organizer. I really see no other way other than communicating to them that before this date, no guests can sign up for rooms as the d/i/o have priority before that.

Chris... i brought this issue back up bc it needed addressed IMO. I had some hard pointing in my direction many months ago by individuals who didn't even show up..GO FIGURE.
Being a part of the planning commitee i thought it wouldn't serve as a bad idea to revisit this just to see how things actually played out. You can imagine how i felt having "others" speak derogatively behind my back about an issue that was A) completely out of my control that the rest of the committee can vouche for and B) i tried to help resolve, but just made myself look worse by the finger pointers.
If this needs locked then so be it, but i wanted some concrete feedback on what really ended up taking place. We don't get a list of those who get rooms, nor do we supply one, so its all in question until the actual event takes place.

Again, i wanted concrete feedback from those who attended before it would become personal or not. I agree though, and will take these issues privately if they need dealing with. This was the best way to gain a better understanding of it all.

I called Friday before Expo and got a room at the Lodge. I was so happy to not be in the heat and to have my own shower, bathroom, yadda yadda. They even had a mini-fridge in the room to keep gatorades cold.
